Preparing for your VSPA in-person meeting? Start here. Below you’ll find answers to frequently asked questions to help you plan and make the most of your sponsorship.

 

VSPA meetings bring together decision-makers from independently owned specialty and emergency veterinary hospitals across North America. Attendees include owners, medical directors, and senior leaders who are highly engaged and collaborative.

VSPA is intentionally:

  • Non-competitive (one sponsor per vertical)
  • Relationship-driven and highly curated
  • Focused exclusively on specialty and ER practices
  • Designed for meaningful conversations—not crowded exhibit halls

This creates stronger connections, higher-quality engagement, and measurable ROI for sponsors.


VSPA offers three in-person sponsorship tiers and one virtual option:

  • Diamond (Highest Level)
    Includes the most comprehensive access and visibility, with unlimited representatives, extended networking opportunities, expanded promotional reach, and the ability to present a webinar to VSPA members.
  • Sapphire
    Includes up to four representatives, strong networking opportunities, robust promotional visibility, and a webinar opportunity.
  • Ruby
    Includes up to three representatives, focused networking opportunities, and core promotional visibility.
  • Emerald (Virtual Webinar Partner)
    A flexible, virtual option designed for sponsors who want to connect with VSPA members through a branded webinar experience with live Q&A and on-demand access.

All sponsors—regardless of level—receive:

  • Recognition on the official conference agenda and onsite signage
  • Logo and website link on the VSPA website
  • Access to CE sessions and social events
  • Inclusion in pre- and post-event communications
  • Opportunity to submit a short introductory video

VSPA is designed for meaningful engagement through:

  • Rotating sponsor networking groups (roundtables)
  • Conversations during meals and social events
  • Opening introductions and ongoing visibility

These are structured, small-group discussions where sponsors:

  • Engage directly with hospital leaders
  • Share insights and expertise
  • Build relationships in a conversational (not sales-driven) format

VSPA does not use traditional booths. Instead:

  • Sponsors have dedicated tables in shared networking spaces
  • Tables are positioned near meals and high-traffic areas
  • Setup is intentionally designed to encourage conversation and connection

Sponsors receive multi-channel visibility before, during, and after the event, including:

  • Onsite recognition, including printed materials and conference signage
  • Event platform visibility (Eventleaf), including sponsor listings and attendee-facing content
  • VSPA website presence, including logo and direct link to your organization
  • Digital promotion through VSPA email and social media channels
  • Opportunity to submit:
    • Promotional graphics (based on level)
    • Sponsor intro video featured during the conference and online

Each meeting has a dedicated event site with the most up-to-date information, including:

  • Location and venue details
  • Recommended lodging and booking information
  • Full meeting agenda

Sponsors will be directed to the appropriate event site for each meeting they are participating in.

Yes. Sponsors will be provided access to the event platform (Eventleaf) to:

  • Upload company information
  • Add team attendees
  • Enhance your visibility to participants

Detailed logistics—including shipping instructions, labeling, and timing—will be shared within 30 days of the meeting.
This will include guidance for sending materials to the venue in advance.

To ensure full visibility and inclusion in event materials, sponsors are asked to provide:

Within 14 days of confirmed (paid) sponsorship:

  • Company logo
  • Names, titles, and credentials of attending representatives
  • Headshots for each attendee

At least 14 days prior to the meeting:

  • A 90-second sponsor intro video to be featured during the conference and online

Yes—sponsors receive a one-time use attendee email list post-conference to support follow-up and relationship building.


VSPA maintains strict category exclusivity:

  • Only one sponsor per service/product category
  • Protects sponsor investment
  • Ensures a non-competitive, high-value environment

Yes. Additional opportunities include:

  • Emerald virtual webinars
  • Regional Ascend leadership events
  • Strategic partnerships and ongoing engagement with VSPA initiatives
